In short
- We collect only what we need to answer enquiries, deliver your software and services, and take payment: mainly your name, phone number, email and order details.
- We never ask for your card, net-banking or UPI PIN. Payments are made in your own UPI app.
- We do not sell your personal data, and we do not rent it out.
- You can ask us to see, correct or delete your data at any time by writing to support@buildsoftech.com.
1. Who we are
This website, buildsoftech.com, is run by Buildsoft Technologies and Services (“Buildsoftech”, “we”, “us” or “our”). Our office is at 400-A, 12 Ajit Singh House, Commercial Complex, New Delhi - 110016, India.
We are the data fiduciary for the personal data described in this policy. That means we decide why and how it is used. This policy explains what we collect, why, who we share it with and the choices you have. It is written to meet the Information Technology Act, 2000 and its rules, and the Digital Personal Data Protection Act, 2023 (“DPDP Act”).
2. What this policy covers
This policy applies when you:
- visit our website or read our blog;
- send us an enquiry through a form, WhatsApp, phone or email;
- create an account, buy a software plan or pay for an order;
- use our software products or hire us for a service (website, app, SEO, marketing, ads, custom software, AI automation or cyber security).
Data that you, as our customer, store inside our software is covered separately in section 8.
3. Information we collect
Information you give us
- Enquiries: name, phone or WhatsApp number, email, the service you are interested in and your message.
- Account and orders: name, phone, email and password (stored encrypted, never visible to us), plus the products, plan duration and amounts you order.
- Payments: the UPI transaction / UTR number you share after paying, and any payment screenshot you send us on WhatsApp. We never collect your card number, bank login or UPI PIN.
- Projects and support: business details, content, logins or access you choose to share so we can build, set up or support your product or service.
Information collected automatically
- Technical data: IP address, browser and device type, pages visited, date and time. This is recorded in server logs and by security tools.
- Cookies and similar technologies: see section 6.
- Order source: when you place an order, our shop records how you reached us, such as a Google search, a social media link or typing the address directly. This helps us understand which channels work.
4. How we use your information
- To reply to your enquiry and send you a quote or proposal.
- To create and manage your account, process orders, verify payments and activate your software.
- To deliver services, provide support and send updates about your order, renewal or project. These updates come by email, WhatsApp, SMS or phone.
- To send invoices and keep accounting and tax records.
- To keep the website and our software secure, and to prevent fraud, spam and misuse.
- To improve our website, products and services using overall usage trends.
- To send offers or newsletters, but only if you have agreed to them. You can opt out at any time.
- To meet legal duties and respond to lawful requests from authorities.
We use your data on one of these grounds:
- your consent;
- because you asked us for a product or service;
- for the legitimate uses allowed under the DPDP Act, such as complying with law.
5. How we share your information
We share personal data only when needed, and only with:
- Hosting and email providers. Our website, database and business email are hosted by Hostinger. Emails from the site are sent through our own mail server.
- Payment QR generation. To show the UPI QR code on your order page, the payment details (our UPI ID, the amount and your order number) are sent to the QR Server service (goqr.me), which returns the QR image. Your name, phone and email are not included.
- Your UPI app and banks. They process the payment you make. We receive only the confirmation and transaction reference.
- WhatsApp (Meta). This applies only when you choose to message us on WhatsApp.
- Website tools. Fonts from Google Fonts and icons from Cloudflare’s cdnjs load in your browser, so those services receive your IP address. If we switch on Google Analytics, it receives anonymised usage data.
- Team members and contractors. These are people working on your project or support ticket, under confidentiality obligations.
- Authorities. We share data when required by law, court order or a lawful government request, or to protect our rights and prevent fraud.
Some of these providers may store data on servers outside India. When that happens, we only use providers that protect it with reasonable security, and we follow any transfer restrictions notified by the Government of India.
6. Cookies
Cookies are small files stored in your browser. We use them only for these purposes:

You can block or delete cookies in your browser settings. The shop and login may not work without them.
7. How long we keep your information
- Enquiries: up to 3 years after our last conversation, unless you become a customer.
- Accounts: for as long as the account is active, or until you ask us to delete it.
- Orders, invoices and payment records: for as long as Indian tax and accounting laws require, generally up to 8 years.
- Server and security logs: up to 12 months.
When data is no longer needed, we delete it or make it anonymous.
8. Data you store in our software
Our software products store records you enter, such as student, customer, sales, stock or staff details. For those records, you (the school or business) are the data fiduciary, and we act only as your data processor. This means:
- we use that data only to run, back up, support and improve the software for you;
- we never sell it, and we never use it to contact your students or customers;
- our team accesses it only when needed for setup, support or security, and under confidentiality;
- you are responsible for having the right to collect it. For children’s data, that includes parents’ consent where the law requires it.
When a plan ends, you can ask for an export of your data. We keep it for 30 days after expiry so you can renew or export it, and then we delete it from our live systems. Backup copies are deleted in their normal cycle.
9. How we protect your information
We use reasonable security practices, including:
- HTTPS encryption across the site;
- encrypted passwords;
- access limited to the team members who need it;
- regular updates and backups.
No method of transmission or storage is 100% secure. If a personal data breach affects you, we will inform you and the Data Protection Board of India as the law requires.
10. Your rights
Under the DPDP Act and other applicable law, you can:
- ask what personal data we hold about you and how we use it;
- ask us to correct, complete or update your data;
- ask us to delete your data, unless we must keep it by law, for example invoices;
- withdraw consent you have given, for example to marketing messages. Withdrawal does not affect anything done before it;
- nominate another person to exercise these rights in case of your death or incapacity;
- raise a grievance with us, and then with the Data Protection Board of India if you are not satisfied.

11. Children
Our website and shop are meant for adults and businesses. We do not knowingly collect personal data directly from anyone under 18. If you believe a child has sent us personal data, contact us and we will delete it.
12. Marketing messages
We send offers and updates only if you have agreed to receive them. To stop them, reply “STOP” on WhatsApp, use the unsubscribe link in an email, or tell us directly. You will still receive messages about your orders and active plans.
13. Links to other websites
Our website links to other sites, such as Facebook, Instagram and WhatsApp. Their own privacy policies apply there. We are not responsible for how they handle your data.
14. Changes to this policy
We may update this policy as our services or the law change. The “Last updated” date at the top shows the latest version. If a change significantly affects how we use your data, we will tell you by email or on the website.
